Childcare Policies and Procedures
 
Intent
Childcare is provided as a service to our members and friends. Childcare is a critical need of families with children. We want adults with children to have full access to all Fellowship-affiliated events and groups. We want to reduce the possibility that some adults might not be able to participate in the life of the Fellowship because of financial hardship or unavailability of childcare. It is for these reasons that childcare will be offered and provided, if needed, for all Fellowship functions.
 
Policy
Childcare will be provided at all KUUF events unless it is impossible or impractical to do so. Example: childcare is not usually provided for adult-only weekend-long retreats. 
 
Procedures:
Requesting Childcare
Parents are responsible for requesting childcare, for one time or ongoing events. We ask parents to let the childcare coordinator know a week in advance if childcare will be required-and the names, age and special information of the children needing care. This allows us to find suitable childcare workers. However, parents/guardians bear ultimate responsibility for the safety of their children.
 
Fellowship Events Open to the Public-When a group from the Fellowship is hosting a public event at which childcare will be provided. The public is requested to contact the childcare coordinator a week in advance so that appropriate childcare can be provided. An effort will be made to accommodate those who show up at the door as long as the childcare worker to child ratio is maintained for safety.
 
1 family-If one family requests childcare they may hire their own childcare provider to provide childcare in their home. Reimbursement is available at the current Fellowship rate for childcare providers upon completion of Parent Reimbursement Form. (located on bulletin board in admin. building hallway)
 
Childcare Worker Age, Supervision and Training
All childcare workers, volunteers and/or paid, will have been active in the life of the Fellowship for a minimum of one year prior to becoming a childcare worker. He/she will attend training with the childcare coordinator and have signed the Code of Ethics. For those over 18 years of age a background check will be done. Two childcare workers must be hired for adequate supervision and support. Preference should be given to those who have completed some type of organized training for babysitters, such as a class offered by the Red Cross, Campfire Girls and Boys, Harrison Hospital, or Mary Bridge Children’s Hospital. A copy of their certificate must be on file in the DRE’s office. A KUUF childcare worker orientation will be given at the beginning of each school year. All childcare workers will be given a written job description and have access to art supplies and games. The childcare coordinator will request a Parental Consent for Communication with Child or Youth form for all childcare workers under the age of 18 and keep this on file.
 
Childcare Worker: Childcare Ratio
*       Two childcare workers for every sixteen children age four and older. (1:8)
*       Two childcare workers for every 6 infants or toddlers (age three and younger) (1:3)
*       Attempts will be made to provide a 1:1 ratio for children with special needs.
 
Childcare Space
The childcare coordinator will reserve adequate space to provide childcare when childcare is requested.
 
Budget and Accessing Childcare Funding
Childcare funds are available from the Fellowship outside of committee budgets. This established amount is approved by the board each year. To access these funds requires approval from the Childcare Coordinator. Childcare workers will be paid through the administrative office at the current rate of pay as established. Childcare coordinator must also sign off on the Childcare Reporting Form verifying hours worked etc.
 
Payment for Childcare
$8 per hour. Payment exceptions are authorized by DRE. Childcare workers are required to fill out Childcare Reporting Form for statistics and payment authorization. If childcare cannot be provided at an event for some reason, a parent can be subsidized by filling out the same form and returning it to the DRE office. Childcare workers will be paid for a minimum of two hours if the event is cancelled less than 24 hours prior to the event or if no children show up.
 
Childcare Workers Pool
The childcare coordinator will have a current list of trained childcare providers that will be on file with the DRE and the office administrator.
